Questions clinics and offices ask about an AI receptionist
What is an AI receptionist?
- An AI receptionist is a voice agent that answers your main business line, works out who is calling and why, books or reschedules appointments in your live diary, answers routine questions about hours, location, pricing and insurance, and takes a detailed message when a person is needed. It answers on the first ring at any hour, in the caller's language, and every call is recorded, transcribed and written back to your records. It is meant to replace voicemail and the missed call.
Does it book into our real diary, or just take a request?
- It books. The agent reads live availability in your practice management system, clinic diary, calendar or CRM, offers only the slots that exist, and writes the appointment while the caller is still on the line. Rescheduling and cancelling run through the same connection, and the caller gets a WhatsApp confirmation with the time and location. Where a system has no usable integration, the agent captures the requested slot in full and hands it to a person to enter.
What happens when the caller needs a person?
- During your hours the agent transfers, and the transfer is warm: whoever picks up inherits the caller's identity, the reason for the call and everything said so far, so nobody is asked to repeat themselves. Distress, a complaint, a clinical question or anything above the limits you set are hard escalation triggers regardless of how confident the agent is. Out of hours there is nobody to transfer to, so the agent says that plainly, captures the whole question with the name and number, and routes it to the person who owns it in the morning. It does not claim to be human and it does not invent an answer to keep the caller on the line.
Can an AI receptionist answer in Arabic?
- Yes, and it answers in whichever language the caller opens in, across 90+ languages. Gulf, Levantine and Egyptian Arabic sit alongside English, Hindi, Urdu, Malayalam and Tagalog on the same number, and the agent follows the caller when they switch mid-sentence. The confirmation message and the written note come back in the language the call was actually held in.
