A refrigerator stops cooling on a Friday night. The customer calls the service line on Saturday, waits in the queue and books a Monday window. On Monday morning she keeps calling to ask when the technician is coming, steps out briefly and misses the visit.

The rebooked visit finds the fault, but the part is not on the van, and nobody calls when it arrives. The photos of the fault and the serial plate she sent on WhatsApp sit in a chat nobody has linked to her job. After the final repair, a feedback call asks her to rate the whole experience.

For a service center, the question is what it takes to run after-sales service management end to end with AI, across calls, WhatsApp and the systems behind them.

What does after-sales service management cover?

For appliance and electronics brands in the UAE and their service networks, the work starts with intake (customer, product, fault, address) and a warranty and entitlement check against the purchase date, any extended plan and past repairs. Scheduling and dispatch match a technician slot to the area and the skill the fault needs. When the repair needs a part, the job moves to the parts desk and a second visit, then to closure, a feedback call and, when cover ends, an extended warranty renewal.

In a working after-sales service management system, every stage updates one record per job, so dispatch, technicians, the parts desk and the customer see the same status. The gaps open where the journey leaves that record: photos in a WhatsApp chat, a reschedule agreed on a technician's phone, feedback in a spreadsheet.

AI employees work on that record, each with a defined job (the inbound line, rescheduling, feedback calls), permissions the service center sets and a hand-off to a person when a case is outside its authority. Several can share one job record, so every stage starts from the full history.

After-sales service holds together when every channel and every team works from one job record. The fault report, the WhatsApp conversation, the technician's slot, the part and the feedback score all belong on it, and AI employees keep it complete at every step. Customers get answers without chasing, technicians arrive prepared, and the service center's people spend their time on repairs and the cases that need judgment.

How AI takes service requests on calls and WhatsApp

Many fault reports still arrive by phone, because a customer with water on the kitchen floor wants to talk to someone now. An AI voice agent answers the service line at any hour and identifies the customer from their number before the call connects. It asks what an experienced advisor would ask, such as whether water is leaking or the unit powers on, and registers the request during the call.

WhatsApp is where the evidence arrives: photos and videos of the fault, the model and serial plate, the purchase invoice. On the service center's WhatsApp line, an omnichannel AI employee on the official WhatsApp Business API asks for the details and photos the job needs and logs the conversation against the job.

Both channels write to one job record in your CRM through Agent API, so the technician sees the call summary, the WhatsApp conversation and the warranty status together. A supervisor agent validates every entry against the system's rules before it is saved and sends the AI employee back to the customer to fix a detail on the same call. Customers are answered in Arabic (including Gulf dialects), English or one of 60+ other languages. Our guide to omnichannel AI customer service follows one washing machine repair across calls, WhatsApp, Instagram and email.

How does AI handle technician scheduling and missed visits?

Technician scheduling decides how many trips a repair takes, and every failed visit costs a technician's slot and another day of the customer's time.

One service job, from the first report to feedback
  1. Request logged

Fault, model and serial captured on first contact

    Calls

  2. Warranty checked

Cover and repair history read from the job

  3. Visit booked

An open slot agreed for the customer's area

  4. Day-before confirmation

The customer confirms or picks a new slot

    WhatsApp

  5. Closed and rated

    Calls

The confirmation step is the cheapest protection against a failed visit: a customer who will be out says so while the slot can still go to another job. On the day, a customer asking when the technician will arrive gets the answer from the live job record. When plans change, the customer chooses another time from the open slots for their area, on a call or on WhatsApp, and the dispatcher's schedule updates. When a visit fails anyway, an outbound AI employee works from the job record, calls the customer and offers the next open slots, as in this example of a rescheduling call:

Call · Missed technician visit

AI employee

Good afternoon, I'm calling from the service center about your washing machine repair. Our technician visited this morning and couldn't reach you.

Customer

I'm sorry, I had to leave early for work.

AI employee

No problem at all. I can offer Thursday morning or Saturday afternoon. Which works better for you?

Customer

Saturday afternoon, please.

AI employee

Saturday afternoon is booked, and the confirmation is on its way to your WhatsApp now.

In AI field service management, confirmations and rebooking run through AI employees, so technicians arrive at homes that expect them and dispatchers spend their mornings on routing and exceptions. FM helpdesks run the same confirmations for maintenance visits, as our guide to AI for facility management shows.

Parts, second visits and feedback calls

Second visits are where service journeys go quiet: the technician orders a part and leaves, and the customer hears nothing until they call. An outbound AI employee picks the job up when the part is marked as received, calls to book the return visit and confirms the slot on WhatsApp.

After closure, a feedback AI employee asks how the visit went, records the rating and the customer's own words on the job, and hands any poor experience to a supervisor with the context captured.

When standard cover ends, the product and brand are already on the record, so an extended warranty offer is the natural next call. Our guide to AI voice agents for service centers covers warranty renewals and the rest of the call side in depth.

AI agents for field service teams inside the service center

Dispatchers and technicians spend much of their day looking things up in job histories, fault guides and parts lists. Internal AI agents for field service teams read the service center's own systems and documents and answer questions in plain language, within the permissions set for each role.

A dispatcher asks for a customer's previous visits and the last technician's notes. A technician on site asks what an error code means on that model and gets the matching page of the fault guide. A coordinator asks whether a part is in stock in the ERP before promising a date.

When an answer leads to an action, such as a part request or a job update, the agent prepares it and a person approves it before anything is saved. Team xAIa has run internal agents this way across its own marketing, website, project management, sales and finance work. Our post on company brain AI explains how those role permissions work across departments.

What changed for a global home appliance leader

At a global home appliance leader in the UAE, xAIa deployed four AI employees across the after-sales journey, one inbound and three outbound, on voice with WhatsApp follow-up. The inbound AI employee handled more than 20,000 service calls a month, 72% of them with no human escalation, registered more than 1,000 service requests in the CRM and took calls for 5+ brands on one line.

The first AI employee went live 30 days after kickoff. The three outbound AI employees collected complaints from dealers, rebooked customers who had missed a technician visit and offered extended warranties to customers whose cover was ending. The call center team moved to supervising the AI employees and handling the conversations that needed judgment.

How to measure after-sales service management

Answer rate shows whether every call and WhatsApp message got a reply. The share of requests logged without errors shows the quality of intake, and the missed-visit rate shows whether day-before confirmations are working. First-time fix rate shows whether intake, scheduling and parts worked together, and feedback scores show how customers rated the service.

Frequently asked questions

What is after-sales service management software?

After-sales service management software is the system of record for every service job, usually a CRM or service module with scheduling attached. It tracks each job from the fault report and warranty check through the technician visit, parts, closure and feedback, so dispatch, technicians and the parts desk work from one status. xAIa's AI employees work on top of that system: they take requests on calls and WhatsApp, update the job during each conversation through Agent API and make the follow-up calls that keep a job moving until it closes.

Can xAIa's AI employees schedule technician visits?

Yes. xAIa's AI employee checks the open slots for the customer's area and the skill the fault needs in your scheduling system, books the visit during the call or chat and sends the confirmation on WhatsApp. The day before, an outbound AI employee confirms the visit, so a customer who will be out can move the slot while it can still go to another job. For a global home appliance leader, xAIa's rescheduling AI employee called customers who had missed a technician visit, offered the next open slots and booked the new visit.

Can a service center take service requests on WhatsApp?

Yes. Customers message the service center's WhatsApp number to report a fault and send photos or videos of it, the model and serial plate and the purchase invoice. xAIa's omnichannel AI employee runs on the official WhatsApp Business API, asks for anything the job still needs and logs the conversation against the job in your CRM, so the technician can open it before the visit. When a fault is reported by phone first, the voice AI employee can ask for the photos on WhatsApp during the call and add them to the same job.

How does AI handle warranty checks and extended warranties?

xAIa's AI employee reads the warranty status from the customer's record before it replies: purchase date, any extended plan and past repairs. It explains the cover from the service center's approved policies, books the visit on the right terms and sends disputed cases to a person with the full history attached. When standard cover is ending, an outbound AI employee can offer an extended warranty, which is the job one of the four AI employees did for a global home appliance leader.

Do we need to replace our CRM to use AI for after-sales service?

No. xAIa's AI employees work inside the CRM, ERP and scheduling systems you already run, connected through Agent API, and xAIa has integrated them with CRMs including Odoo, Zoho and HubSpot. Agent API identifies the caller before the call connects, fills the right fields during the conversation and writes a structured outcome back afterward, and a separate supervisor agent validates every entry before it is saved. Integration typically takes one to two weeks, and a first AI employee is live in about 30 days.
