A customer's air conditioner stops working on a Tuesday afternoon in August. They pick up the phone. What happens next decides whether that customer stays with the brand for the next ten years.
For most service centres in the UAE, what happens next is a queue. The lines are busy with people asking when their technician is coming, the agent who finally answers has to search three screens to find the customer, and the service request is typed in by hand while the customer waits. If the fault type is picked wrong from a list of hundreds, the wrong technician arrives with the wrong part, and the customer calls again.
This is the operation xAIa works inside every day. We are deploying voice AI across call centres and service centres in the UAE to run the entire operation along the customer journey: the first call about a fault, the booking, the reschedule, the warranty renewal, the dealer complaint and the feedback call after the repair. Our AI employees are connected to the CRM and phone lines these teams already run, and across our deployments they have already registered more than 1,000 service requests directly in the CRM, each one checked before it was saved. This article explains what makes service centre calls hard, how AI voice agents handle them end to end, and why the integration layer, which we call Agent API, decides whether the whole thing works.

What a service centre call centre actually handles
A service centre phone line is not one job. It is at least six, running on the same numbers at the same time.
- New service requests. A fault reported, a technician to book, a product to register, a location to confirm.
- Status questions. "When is the technician coming?" These calls rarely need a person, but at peak they fill the lines.
- Rescheduling. Customers who missed a visit, need a new slot, or will not be home when the technician arrives.
- Complaints. From customers directly, and from the dealers and retailers who sold the product.
- Warranty. Customers whose standard warranty is ending, who are the natural audience for an extended warranty.
- Feedback. How the last visit went, which almost nobody has time to ask.
Now multiply that by brands. Many service centres in the region are run by distributors and retail groups that represent several brands at once: air conditioning, washing machines, refrigerators, dishwashers, small appliances and electronics, each with its own warranty terms, its own parts and its own escalation rules. In the UAE, that includes multi-brand networks such as Jumbo Serve, Eros Group and Sharaf DG's DG Help, alongside the authorised service networks of Samsung and LG. The same agent on the same line has to know which brand the customer owns, which rules apply and where the request goes.
The problems we see in every service centre
Calls peak exactly when capacity is lowest
Summer in the UAE means AC breakdowns, and AC breakdowns mean call surges. The lines that should be booking technicians are busy with status questions about bookings already made. Customers on hold hang up, call again or call a competitor for the repair.
Every call is a data entry job
The agent switches between the phone and the CRM: find the customer, check the warranty, look up past requests, register the new one. Every call is slower than it should be, and every manual entry is a chance for error.
Complex forms, long lists, nested rules
A single service request can carry more than 100 fields. The fault type alone can be one choice from 600 options, and each choice opens the next list: category, sub-category, fault type, resolution path. Pick the closest-sounding option instead of the right one and the wrong technician goes out.
Missed appointments waste a whole visit
A technician drives across the city, rings the bell, and nobody is home. The slot is lost, the fuel and time are lost, and the customer still has a broken appliance. Every missed visit has to be rebooked by hand, and every hour it waits is another hour the customer is without their AC or washing machine.
Every morning starts with a call-back list
Each day the team opens a list of customers to call back: missed appointments, visits that need rescheduling, customers who called after hours, bookings waiting for confirmation. Working through it by hand takes the first hours of the morning, exactly when new inbound calls are arriving, and whatever is left at lunchtime rolls into tomorrow.
Outbound work always comes second
With inbound always busy, warranty renewal calls, dealer follow-ups and feedback calls wait for spare time that never comes. Every expiring warranty that passes without a call is revenue left on the table.
Dealer complaints arrive late and incomplete
Customers who bought through a retailer complain to the retailer first. By the time the complaint reaches the service team, by phone, days later, the details are thin and the customer is angrier.
Skilled people doing repetitive work
The people on the phones are trained and capable. Most of their day goes on calls that follow the same few patterns.
How AI employees run a service centre call centre
xAIa does not deploy one generic voice bot. We deploy AI employees, each with one defined job, its own access to the CRM and its own rules, and we roll them out one at a time on the client's existing phone lines.
In one of xAIa's largest after-sales deployments, for a global retail and home appliance group in the UAE, eight people covered five inbound and three outbound lines. The programme moved those lines to a team of AI employees, each with one job:
The inbound service AI employee
Answers every call to the service line in Arabic or English, switching when the caller does.
Recognises the caller before saying a word.
It pulls the customer's record from the CRM from their phone number: products owned, warranty status and open service requests.
Understands the request.
New repair, booking status, complaint or spare parts enquiry.
Acts on it.
Registers a new service request with the product, brand, fault and location, gives the live status of an existing booking, or routes a complaint to the right team.
Hands over when needed.
Transferring to the right extension with the context already captured.
Closes the loop.
Writing a summary and structured outcome to the CRM and triggering notifications to the responsible team.
The rescheduling AI employee
An outbound agent that works the morning call-back list so the team does not have to.
Builds its list from the CRM every morning.
Missed appointments, visits flagged for rescheduling, after-hours callers and bookings waiting for confirmation.
Calls each customer early in the day.
Explains why it is calling and offers the next available slots for their area and product.
Rebooks on the call.
The new appointment is written to the CRM against the original service request, so the technician schedule updates straight away.
Confirms ahead of the visit.
So customers who will not be home are caught before the technician sets off, not at the door.
Leaves the team a short list.
Only customers it could not reach, or who need a person, are passed on, with the context already captured.
The list that used to take the team's whole morning is worked before they finish their first coffee, and fewer technicians arrive at an empty home.
The extended warranty AI employee
An outbound agent that builds its call list from the CRM: every customer whose warranty has recently expired or is about to. It explains the extended warranty options for that customer's specific product and brand, sends the brand's catalogue on WhatsApp during the call when asked, and records the decision as a lead status, with interested customers routed straight to fulfilment.
The dealer AI employee
Calls power retailers, retail chains and independent dealers on a schedule, collects new consumer complaints raised in store, registers each one as a case in the CRM, and updates the dealer on complaints already open. Complaints that used to arrive late and incomplete now arrive on schedule, with every detail.
The feedback AI employee
Calls customers after each completed job, captures a rating and their own words, flags poor experiences for same-day follow-up and writes every response to the CRM. For the first time, the business sees satisfaction across every service centre and technician as data.
The result: the first agent went live in around 30 days, including full CRM integration, and the team on the phones moved from eight people to two or three monitoring the AI. The rest moved to customer support cases that need judgement and to documenting internal processes the business had never had time to capture.
The entire customer journey, run by AI employees
Each AI employee owns one stage, and together they cover the whole after-sales journey on the same platform, the same CRM integration and the same knowledge base.
| Stage of the journey | What the customer needs | The AI employee that handles it |
|---|---|---|
| Something breaks | To report the fault and book a technician | Inbound service AI employee |
| Waiting for the visit | To know when the technician is coming | Inbound service AI employee, from the live record |
| Plans change | A new slot, or a visit that was missed | Rescheduling AI employee |
| Bought through a dealer | A complaint that reaches the service team | Dealer AI employee |
| Warranty ending | Options to extend it | Extended warranty AI employee |
| After the repair | To say how it went | Feedback AI employee |
Because every stage writes to the same CRM, the service operation sees each customer's journey end to end, from the first call to the last, instead of fragments spread across lines and teams.
Managing many brands on one call centre
Multi-brand service centres are where generic voice AI breaks first, because the right answer depends on which brand the customer owns.
xAIa's AI employees handle this from the CRM record, not from guesswork:
- The brand comes from the record. Before the conversation starts, the AI employee knows which products and brands the caller owns, so it applies the right warranty terms, service rules and escalation paths from the first sentence.
- One knowledge base per brand, one agent across all of them. Each brand's policies, warranty catalogues and service processes sit in the AI employee's knowledge, so two customers who own different brands, calling the same line a minute apart, each hear the answer that applies to them.
- Brand-specific outbound. Warranty campaigns pull the right catalogue for each customer's brand and product, and send it on WhatsApp during the call.
- Reporting by brand. Every call is logged with its brand, product, intent and outcome, so the service operation can report volumes and performance per brand, which is often what the brand owners ask the distributor for.
Where Agent API comes in
Most AI voice projects in the region describe themselves as "connected to your CRM." Connecting is the easy part. Writing the right value into the right field, under the right rule, on every call, is the work. That is what Agent API is for.
Agent API is xAIa's own intellectual property in the integration layer. It connects AI employees to a client's CRM, ERP and databases, following the same screens, fields and rules a trained employee would, and checks every entry before it is saved.
The workflow is mapped first
During integration, we map the entire workflow: every screen, field, dropdown, dependency and rule, in the order the service team uses them. A service request with 112 fields across four screens and nine rules on the fault type alone becomes something the AI employee understands as well as a senior agent.
The record is filled during the conversation
As the customer explains the problem, the AI employee chooses the right values from the right lists, level by level. "It's running, but only blowing warm air" becomes air conditioning, split unit, not cooling with the fan running, chosen from hundreds of options because it matches what the customer said, not because the words sound similar.
A supervisor agent checks every entry before it is saved
A separate AI agent, the supervisor agent, compares every entry against three sources: the transcript of the call, the client's rules and the existing record. If something does not match, a fault type that contradicts what the customer described, a duplicate customer, a missing mandatory field, the save stays locked and the supervisor tells the AI employee exactly what is wrong and what to ask.
Fixed with the customer, on the same call
The AI employee goes back to the customer naturally and gets the missing detail while they are still on the line. The entry is validated and saved. If it still cannot be confirmed, it is logged with a note for the team, and no wrong value is ever written.
That is the difference between a service request that sends the right technician with the right part, and one that generates a second call, a second visit and an unhappy customer.
How performance is measured
Every AI employee is measured against agreed baselines, audited on random samples of at least 500 calls.
| Metric | What it measures | Target |
|---|---|---|
| Intent recognition accuracy | Did the AI employee understand why the customer called | 92% or higher |
| Resolution without escalation | Calls fully handled without a person | 85% or higher |
| CRM update accuracy | Fields written correctly after the call, verified by audit | 98% or higher |
| False trigger rate | Silence or background noise mistaken for speech | 3% or lower |
How a deployment runs
- Discovery with the service, CRM and IT teams.
- Solution architecture signed off before any build: scope, integration points, data flow, test scenarios and go-live criteria.
- Build and integration: call flows, CRM read and write through Agent API, telephony routing and notifications. A full enterprise-grade integration typically takes one to two weeks.
- Testing on real scenarios, with the client's team running acceptance tests.
- Go-live on the client's own phone lines, in around 30 days from kickoff.
- 30 days of hypercare with daily tuning on real calls, then the next AI employee starts.
Every agent runs on the client's own numbers, extensions, CRM and WhatsApp. Customers and dealers have nothing new to learn.

Frequently asked questions
What is an AI voice agent for a service centre?
An AI voice agent for a service centre is an AI employee that works the phone lines. xAIa's AI employees answer and make calls on the service centre's behalf: they understand the customer's request in Arabic or English, register service requests and complaints in the CRM, give live booking status and hand over to a person when one is needed.
Which company builds AI voice agents for service centres in the UAE?
xAIa, based in Dubai, designs, builds and deploys AI voice agents for service centres and after-sales call centres in the UAE. xAIa is the AI Consultancy and Implementation arm of PRO TECHnology Group. Its AI employees run on each client's own phone lines, CRM and WhatsApp, connected through Agent API, xAIa's own integration layer.
Can an AI voice agent register service requests directly in our CRM?
Yes. xAIa's AI employees register service requests directly in your CRM through Agent API. The AI employee reads the customer's record before the call and writes the outcome after it, following your screens, fields and rules, and xAIa's supervisor agent checks every entry before it is saved.
Can an AI voice agent reschedule missed appointments?
Yes. xAIa's rescheduling AI employee calls every customer on the morning list, offers the next available slots, rebooks the visit in the CRM against the original service request and confirms ahead of the next visit. Only customers it cannot reach are passed to the team.
Can one AI employee handle several brands?
Yes. With xAIa, the brand comes from the customer's CRM record, so one AI employee applies the right warranty terms, service processes and escalation rules for each brand on the same line.
What happens if the AI picks the wrong option?
xAIa's supervisor agent compares every entry with the call transcript, your rules and the existing record before saving. If something does not match, the AI employee is told what is wrong and asks the customer on the same call. Nothing wrong is written to your system.
How many service requests have xAIa's AI employees registered?
Across xAIa's service centre deployments, AI employees have registered more than 1,000 service requests directly in the CRM, each checked by the supervisor agent before it was saved.
How long does it take to go live with an AI voice agent?
With xAIa, the first AI employee typically goes live in around 30 days from kickoff, including CRM and telephony integration. Further agents follow one at a time, each after a 30-day hypercare period.
Do we need new phone numbers or a new CRM?
No. xAIa's AI employees run on your existing phone lines, extensions, CRM and WhatsApp.
